1. Who registers, and who this policy is for
PCB programs serve children. Registration is performed by a parent, legal guardian, or other authorized adult — not by the child. We do not knowingly allow a child
under 13 to create an account or submit registration information directly to us.
When we refer to "you" below, we mean the adult who registers a participant.
If you believe a child has provided us information directly without a parent or
guardian, email us and we will remove it.
2. What we collect
When you register a participant, we ask for:
- Player: first and last name, date of birth, current grade, current school, height, weight, uniform size
- Parent/guardian: name(s), email address, phone number, mailing address
- Emergency contact: name and phone number
- Medical information: allergies, medical conditions, current medications, physician name and phone — or your confirmation that there is nothing to report
- Your agreement to our Participant Waiver, and the individual consents you select
Through participation, we also generate or record:
- Team and division assignment, jersey number, attendance
- Game scores, statistics, standings, awards, X-League Points and similar basketball results
- Photographs and video from games and events
Through the website and app:
- Account login information for adults who create one
- Basic technical information such as device and browser type, and log records needed to operate and secure the service
We do not collect or store payment card numbers. See section 6.
3. Why we collect it
We use this information to:
- Register participants and confirm eligibility for a program
- Form teams, build rosters, and assign jersey numbers
- Create schedules, record scores, and maintain standings and statistics
- Communicate with families about schedules, changes, cancellations and program news
- Take payment and issue receipts, refunds or credits
- Respond in a medical or emergency situation at a game or practice
- Operate, secure and improve our website and app
We do not sell personal information. We do not share it with advertisers.
4. What is public, and what is not
Some basketball information is visible to other users of our app, or publicly on our
website. Depending on the program and feature, that may include a participant's
name, team, grade, school, jersey number, photograph, statistics, results and awards.
We do not publish, as part of a public player profile or roster:
- Home address
- Parent or guardian phone number
- Parent or guardian email address
- Date of birth
- Medical information
- Payment information
Medical and emergency information is used for program operations and safety only.
It is visible to PCB staff and, where appropriate, the participant's coach. It is
never published.
5. PCB RecruitLink
RecruitLink is an optional feature for high school participants. Its purpose is
to share a player's information with college coaches, recruiters and others involved
in athletic recruiting.
A RecruitLink profile is created only when a parent, guardian or eligible participant chooses it. It is not created automatically by registering.
A recruiting profile may include basketball and academic information, graduation year,
statistics, photographs, video and highlight links, and contact information the family
specifically provides for recruiting purposes.
Because the point of the feature is outside sharing, information placed in a
recruiting profile may be seen, saved or forwarded by people outside PCB's control.
Families should include only what they intend recruiters to see.
You can ask us to remove a RecruitLink profile at any time by emailing us.
6. Payments
Online payments are processed by Stripe. Card numbers, security codes and similar
card credentials go directly to Stripe. PCB does not receive or store them.
We retain a record of the transaction — amount, date, program, participant, and
whether it was paid, refunded or credited — because we need it for accounting.
Stripe's handling of payment information is governed by Stripe's own privacy policy.
7. Photographs and video
By registering, you grant PCB permission to photograph and record participation in
our games and events, and to use those images in program operations, on our website
and app, in social media, and in promotional material. This is described in the
Participant Waiver.
Images posted publicly or to social media may be viewed, shared or copied by others
outside our control.
If you would prefer your child not appear in promotional or social media posts,
email us and we will do our best to honor that. We cannot guarantee a child never
appears in a wide shot of a game, or in photographs taken by other families,
spectators or opposing programs.
8. Who else sees the information
We share information with:
- Service providers who help us operate — our database and hosting provider (Supabase, hosted in the United States), our website host, our email delivery provider, and Stripe for payments. They may use the information only to provide their service to us.
- Coaches and program staff — for their own team's roster, contact and safety information.
- Recruiting contacts — only for participants who choose RecruitLink.
- Facilities, leagues or governing organizations — where participation requires it.
- When required by law, or to protect someone's safety.
We do not sell personal information.
9. How long we keep it
We keep player records from season to season on purpose. It is what lets a family
register the same child next year without re-entering everything, and it is what
makes historical statistics and player history work.
We keep financial records as long as needed for accounting and tax purposes.
You can ask us to delete a participant's record — see section 10.
10. Your choices and how to exercise them
Email pocketcitybball@gmail.com to:
- Ask what information we hold about your participant
- Correct anything that is wrong or out of date
- Ask us to remove a photograph
- Ask us to remove a RecruitLink profile
- Ask us to delete a participant's record
- Stop non-essential email
We will respond within a reasonable time.
Two honest limits: we may need to keep financial and registration records for
accounting, and while a participant is active in a program we need enough information
to run that program safely — so a deletion request mid-season may mean withdrawing
from the program.
Operational messages about a program your child is enrolled in — schedule changes,
cancellations, safety notices — are not something you can opt out of while enrolled.
11. Security
We use access controls, encrypted connections, and database-level permissions so that
registration and medical information is not publicly readable. Payment credentials
never reach our systems.
No system is perfectly secure, and we do not claim ours is. If we become aware of a
breach affecting personal information, we will notify affected families as required
by law.
12. Changes
We may update this policy. When we do, we will change the "Last updated" date above.
Material changes affecting how we use participant information will be communicated to
registered families.
